Red Door Counseling & Psychotherapy, PLLC (“we,” “our,” “us”) is committed to protecting your privacy and the confidentiality of your personal health information. This Privacy Policy explains how we collect, use, and safeguard your information in accordance with Texas law, the Texas Administrative Code, and the Health Insurance Portability and Accountability Act of 1996 (HIPAA).

By engaging in services with us, you agree to the terms outlined below.

1. Information We Collect

We collect personal and health information necessary to provide counseling and psychotherapy services, including:

  • Your name, date of birth, contact information, and emergency contact details

  • Medical, mental health, and family history relevant to treatment

  • Information you share during therapy sessions

  • Billing and payment information (credit/debit/HSA card details)

  • Any documents or forms you provide

2. How We Collect Information

We collect information directly from you:

  • During your intake process and throughout therapy sessions

  • Through secure messaging within our HIPAA-compliant client portal (SimplePractice)

  • Via secure forms and documents uploaded to the client portal

3. How We Use Your Information

Your information is used to:

  • Provide counseling and psychotherapy services

  • Maintain your clinical records as required by Texas law

  • Process payments and issue superbills for your records

  • Communicate with you via secure messaging in the client portal

  • Respond to emergencies or situations where there is a legal duty to report

4. Confidentiality & Exceptions

All communications between you and your therapist are confidential except as required or permitted by law. We may disclose your information without your written consent if:

  • You are in imminent danger of harming yourself or others

  • We suspect abuse, neglect, or exploitation of a child, elderly adult, or person with a disability

  • We are required by court order or applicable law

  • You provide written consent for release of information

5. Your Rights

You have the right to:

  • Access and request copies of your records

  • Request corrections to your records

  • Receive an accounting of disclosures

  • Withdraw consent for sharing your information (except where required by law)

  • Request restrictions on certain uses and disclosures (which we may or may not be able to accommodate)

6. Communication & Security

We use SimplePractice, a HIPAA-compliant platform, for all scheduling, telehealth, and secure messaging. We do not use standard email or text messaging for clinical communication, as these are not secure.

7. Payments

We accept credit/debit cards and HSA cards for payment. No insurance is accepted. Superbills can be provided upon request for clients to submit to their insurance provider for potential out-of-network reimbursement.

8. Emergencies & Crisis Situations

Red Door Counseling & Psychotherapy is not a crisis center and cannot provide emergency response services via email, portal messaging, or phone outside of scheduled sessions.
If you are in crisis or experiencing an emergency:

  • Call 911

  • Go to the nearest emergency room

  • Call or text the Suicide & Crisis Lifeline at 988

9. Data Retention

We are required by Texas law to retain your clinical records for a minimum of seven (7) years after your last date of service (or longer for minors, per state requirements). After this period, your records may be securely destroyed.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The most recent version will always be available on our website and can be provided upon request.
